Mr. Gorbachev, Tear Down These Silos – Part 2

In Part 1 of this series on tearing down organizational silos, we explored how creating cross-functional teams and standardizing data provide the foundation for tearing down organizational silos that can seriously impede your organization’s Asset Management (AM) program. But to sustain progress, organizations need more than structure—they need tools, incentives, and a culture that keeps departments working together over the long term. Here are three strategies to help you take the next step. 

3. Leverage a Centralized Technology Platform

When data lives in separate spreadsheets or systems, each department builds its own version of the truth. While we do not feel that there is a single AM software that does everything at a best-in-class level, it is important that your various systems are integrated and you have a single source of truth for each integrated dataset. 

This transparency shifts conversations. Instead of debating whose numbers are right, departments can focus on addressing real challenges, such as prioritizing capital needs or making the case for funding. A shared and integrated IT ecosystem creates confidence at every level—from front-line staff to senior leadership. 

4. Align Incentives and Goals Across Departments

Silos often persist because success is measured differently across functions, and incentives are often at odds between departments.  The classic one I hear from construction teams is “We spent more money to make a more sustainable building, but the Operations team reaps all the savings”.  In this case, the team building the new facility may be “punished” for the increased cost of construction (many of our clients are forced to manage to benchmarks), while the Ops team is rewarded for a more efficient building.  At the end of the day, you want to align everyone’s success with what makes the most sense for the organization, not pitting departments against each other. 

By setting shared goals—such as total cost of ownership, risk reduction, or service reliability—organizations create a unifying purpose. When success is defined collectively, collaboration becomes the natural path forward, not the exception. 

5. Promote a Culture of Collaboration and Storytelling

At the heart of silos is culture. Even with the right structures and systems, AM won’t thrive unless people want to share insights and learn from one another.  After all, true AM is about continuous improvement, which only happens with consistent discipline.  

One way to spark this culture is through storytelling. Encourage staff to share their “Asset Management stories”—whether it’s presenting to councils, leading a workshop, or celebrating a success. These stories build trust, highlight the value of collaboration, and keep asset management visible as an organizational priority.

With shared systems, aligned goals, and a culture of collaboration, organizations can move from fragmented, siloed efforts towards unified strategies that deliver lasting value.
