How It Works

Our AI service follows four stages. It starts with a free conversation and a structured assessment. From there, you decide how far to go: take the roadmap and run with it yourselves, work alongside us, or hand the build and hosting to our team.

Discovery

Every engagement begins with a short, no-cost Discovery call. We walk through a standard set of questions covering your current state, your goals, and the pain points worth solving first, so we can tell you honestly whether an assessment makes sense for your team right now.

For existing Roth IAMS clients, much of this is often already done through our work together.

THE FIRST MILE

Facilities AI Readiness Assessment

FAIR is a short, structured, on-site assessment that scores your readiness across eight fixed points and hands back a prioritized roadmap. It answers the two questions that stall most facilities teams: which of our information sources is trustworthy enough to build on, and what will our own policies let us do?

We start with your IT and AI governance team, before anything else, so we never design toward options your environment rules out. We don’t need direct access to your systems — your users demonstrate them and provide small, read-only samples.

Four phases, eight steps

Phase 1 — Pre-Work

Initiation & planning to confirm scope and who to involve; an IT & AI governance session built on a short pre-questionnaire; and information gathering — one representative page per system plus a few headline counts. No migration, no full export.

Phase 2 — On-Site Sessions

Stakeholder sessions with leads across maintenance, custodial, grounds, capital projects, energy and space, followed by guided walkthroughs of your CAMS, CMMS and space systems with the people who use them daily.

Phase 3 — Analysis & Scoring

Two consultants score your readiness independently and reconcile before the readout, so results are evidence-based rather than impressionistic. We then draft the narrative and roadmap.

Phase 4 — Roadmap & Readout

Findings validation with your leads to pressure-test priorities and sequencing, then a final readout to your leadership group with clear next steps.

Addressing common questions
for your convenience

Do you need access to our systems?

No. Your power users demonstrate your systems during guided walkthroughs and provide small, read-only samples — typically one page per system. Redact anything sensitive; we’re reading the shape of the data, not its content.

Why does the IT session come first?

Everything we recommend has to work within your organization’s AI policies and guardrails. Before we design anything, we meet with your IT and AI governance team to confirm which AI tools are permitted and for what, whether internal or public instances can be used, your data-handling rules, and your infrastructure and hosting capability. 

Starting there means we never head down a path your IT oversight would rule out — and it keeps IT informed and coordinated with what Facilities is doing.

How much of our team’s time will the assessment take?

Roughly 40–55 person-hours in total across your whole team — not per person — spread over several weeks around your schedule. Most of that time sits with your facilities leader and the people who use your core systems every day. We confirm the estimate once we have your organization chart and agree exactly who to involve, and we keep any extended group to eight people. 

What if we don’t have one of the systems you look at?

That’s completely fine — just tell us up front. An absent system is itself a useful finding, and we would much rather know early than discover it on site. List whatever you actually run, and the assessment is shaped around it. 

Do we have to use Roth IAMS for Development and Hosting?

No. The assessment stands on its own: you receive the readiness narrative, scored view and prioritized roadmap, and you decide what happens next. Development and Hosting are optional and scoped separately, and you can take them on yourselves, with us, or together.
